Photoshoot Terms

By booking a session with Hare Media, you automatically agree to the following terms and conditions. These policies apply to all clients receiving photography or design services.

Booking & Contracts

  • All sessions (photoshoots or design work) require a signed contract to be confirmed.

  • Full payment is required at the time of booking to secure your time slot.

  • Inquiries are welcome via DM, email, or the business line (905-391-6545), but official communication and contracts will be sent by email.

  • Please do not use my personal phone number or email — they are not monitored.

Payments, Deposits & Invoicing

  • Photoshoots require a $50 deposit. This is applied to your final balance.

  • Final work (unwatermarked photos or design files) will only be provided once full payment is received.

  • Accepted payment methods:
    â–« E-transfer to info@haremedia.ca
    â–« Cash (in-person only)
    â–« Online via haremedia.ca

  • Invoices are due within 10 days of issue.

  • A 3-day grace period is offered. After that, a $5/day late fee applies.

  • Projects with payments 30+ days overdue will be paused until payment is received in full.

Cancellations & Refunds

  • To receive a refund, cancellations must be made with at least 48 hours’ notice.

  • Deposits are non-refundable if cancelled late or if work has already begun.

  • No refunds are issued after final work (photos or files) has been delivered.

Rescheduling Policy

  • Clients may reschedule once, with a minimum of 48 hours’ notice.

  • Rescheduling with less notice may require a new deposit.

  • If you have an emergency and prefer to reschedule instead of cancel, you may do so.

Photoshoot Arrival & Conduct

  • Please arrive 10 minutes early to your scheduled shoot.

  • Late arrivals will lose time from their session (e.g., if you're 15 mins late to a 1-hour shoot, you’ll have 45 minutes remaining).

  • Clients who are disrespectful, disruptive, or under the influence will be asked to leave and will not receive a refund.

Revisions, Edits & Additional Fees

  • Design projects include 2 free revisions.

  • Additional design changes: $10 per revision

  • Reshoots (photoshoots): $50

  • Rush delivery (if available): $35+

  • A revision is a small adjustment (e.g., font change or color tweak). A new request is a significant change or new concept and may be billed separately or require a new contract.

  • Scope changes (e.g., extra versions, platforms, or new branding) may incur additional fees.

Turnaround Times

  • Photos: Delivered within 14 days of the shoot.

  • Design projects: Up to 30 days, depending on complexity.

  • Rush delivery may be possible for an additional fee.

  • Clients are expected to respond to communication and provide required materials promptly. Delays may push back delivery timelines.

Deliverables

  • Photos are shared via online gallery.

  • Design files are delivered in appropriate formats (e.g., printable PDF, transparent PNG, JPG).

  • Files are hosted for 30 days. After that, they may be deleted. Clients are responsible for downloading and saving all files.

  • Extended storage beyond 3 months is available for an additional fee.

Image & Design Rights

  • Clients have usage rights to all final, delivered files (photos or designs) for personal, commercial, or promotional use.

  • Hare Media retains ownership and marketing rights. Work may be shared on our website, social media, portfolio, or marketing materials indefinitely.

  • Discreet credit (“Design by Hare Media”) may be included unless requested otherwise.

Retouching Limits

  • Natural features such as birthmarks, moles, or body proportions will not be altered in post-processing unless requested for a fee and agreed upon beforehand.

Force Majeure / Emergency Policy

  • If a client has an emergency, they may receive a refund with documentation (e.g., doctor’s note or photo evidence).

  • Bad weather will result in a rescheduled session for safety.

  • If Hare Media experiences an emergency and must cancel, you will receive a full refund.

Marketing Consent Policy

  • By booking, you consent to the use of your images or designs for Hare Media marketing (online or print).

  • This includes social media, website, advertising, and promotional materials.

  • Images may be edited, cropped, or adapted for display.

Minors: A parent/guardian must provide written consent for any marketing use.

By booking with Hare Media, you agree to all terms and policies listed above.
