By booking with Hare Media you agree to the following policies, terms and conditions.

Privacy Policy

Hare Media Privacy Policy

At Hare Media, we respect your privacy and are committed to protecting your personal information. Here’s how we handle your data:

  • Information Collected: We collect names, emails, and phone numbers through our booking forms for the purpose of communicating with clients and processing bookings and payments. Payment information is not saved.

  • Use of Information: The information we collect is used solely to communicate with clients, process bookings, and deliver services. We do not share your personal information with third parties.

  • Website & Cookies: We use Wix.com to run our website. We do not use cookies to track your activity.

  • Communication: Business communications are conducted only through our business email or phone number. Personal contact information is not monitored for business purposes.

By using our services, you consent to the collection and use of your information as described above.

Booking Policy

1. Booking & Contracts

  • All bookings, whether for photoshoots or design work, must be confirmed after a contract is signed.

  • Separate contracts are used for photoshoots and design services.

  • Clients must provide all required materials before project timelines begin. Projects may be cancelled if materials are not provided.

2. Deposits & Payment

  • A $50 deposit is required for photoshoots to secure your session.

  • Payments can be made in-person (cash), via e-transfer to info@haremedia.ca, or through the website.

  • Final design work and unwatermarked photos are released only after full payment.

  • Payments must be made within 10 days, with a 3-day grace period. A $5/day late fee applies after that. If an extension is needed, please reach out.

  • Work will be paused if payment is 30+ days overdue.

3. Revisions & Reshoots

  • Photography: Two free revisions per project; additional edits are $10 each. Reshoots are $75.

  • Design Work: Two free revisions per project; additional edits are $5 each. A revision is a small edit; a new request is considered a full change from the original contract.

  • Clients must approve final designs before delivery. Errors post-approval are the client’s responsibility.

4. Deliverables

  • Photos are delivered via an online gallery.

  • Design work is delivered in the appropriate file formats (PDF, PNG, JPG). Working files (PSD, AI) are available for $50.

  • “Designed by Hare Media” credit may appear on work unless requested otherwise.

  • Alyshia retains rights to showcase work in her portfolio and marketing unless otherwise stated in contract.

5. Cancellations & Refunds

  • A 48-hour notice is required for refunds.

  • Deposits go toward the final total.

  • No refunds are issued after work is complete.

6. Safety & Studio Notes

  • Clients must sign a waiver before photoshoots.

  • The backyard studio includes a pool which is off-limits. Clients must walk past it to access the studio. Hare Media and the home-owner are not responsible for any pool-related incidents.

Terms and Conditions

1. Booking & Contracts

  • All sessions (photoshoots, design work, or social media services) require a signed contract to be confirmed.

  • Timelines begin only once all required materials (logos, copy, brand assets) are received.

  • Official communication and contracts will be sent via business email or phone only; personal contact info is not monitored.

2. Payments, Deposits & Invoicing

  • Photoshoots require a $50 deposit, applied to the final balance.

  • Final deliverables (unwatermarked photos or completed design files) will only be provided once full payment is received.

  • Accepted payment methods:
    ▫ E-transfer to info@haremedia.ca
    ▫ Cash (in-person only)
    ▫ Online via haremedia.ca

  • Invoices are due within 10 days; a 3-day grace period is offered.

  • Late payments incur a $5/day fee.

  • Projects with payments 30+ days overdue will be paused until payment is received in full.

3. Cancellations & Refunds

  • 48-hour notice is required to receive a refund.

  • Deposits are non-refundable if work has begun or cancellation is late.

  • No refunds are issued after final deliverables have been delivered.

  • Projects canceled due to missing materials or lack of communication will not be refunded.

4. Rescheduling

  • Clients may reschedule once with at least 48 hours’ notice.

  • Rescheduling with less notice may require a new deposit.

  • In emergencies, clients may reschedule instead of canceling.

5. Photoshoot Arrival & Conduct

  • Clients should arrive 10 minutes early.

  • Late arrivals reduce session time.

  • Clients who are disrespectful, disruptive, or under the influence may be asked to leave without a refund.

6. Revisions, Edits & Additional Fees

  • Design projects: 2 free revisions included; additional revisions $5 per edit.

  • Photoshoots: 2 free edits included; additional edits $10 each.

  • Reshoots: $50.

  • Rush delivery (if available) may incur additional fees ($35+).

  • Revisions are minor adjustments (e.g., color, font, layout); new requests (significant changes or new concepts) may require a new contract or quote.

  • Scope changes (extra versions, pages, platforms, or content) may incur additional fees.

7. Turnaround Times

  • Photos delivered within 14 business days of the session.

  • Design projects delivered within up to 30 days, depending on complexity.

  • Rush delivery may be available for an additional fee.

  • Delays in client communication or materials may affect timelines.

8. Deliverables

  • Photos shared via online gallery.

  • Design files delivered in appropriate formats (PDF, PNG, JPG).

  • Files are hosted for 30 days; clients are responsible for downloading and saving.

  • Extended storage available for an additional fee.

9. Image & Design Rights

  • Clients receive usage rights for all final delivered files (personal, commercial, promotional).

  • Hare Media retains ownership and marketing rights; work may be used in portfolio, website, social media, and promotional materials.

  • Discreet credit (“Designed by Hare Media”) may appear unless requested otherwise.

10. Retouching Limits

  • Natural features (birthmarks, moles, body proportions) will not be altered unless requested for a fee.

11. Force Majeure / Emergency Policy

  • Client emergencies: Refund may be issued with documentation (doctor’s note, etc.).

  • Weather: Bad weather will result in a rescheduled session for safety.

  • Hare Media emergencies: If we must cancel, clients receive a full refund.

12. Marketing Consent

  • By booking, clients consent to the use of images or designs for Hare Media marketing (online or print).

  • This includes social media, website, advertising, and promotional materials.

  • Images may be edited, cropped, or adapted for display.

  • For minors, a parent/guardian must provide written consent; opt-out available by contacting info@haremedia.ca.

13. Client Conduct

  • Clients are expected to act respectfully and professionally during all communications, photoshoots, and project interactions.

  • Hare Media reserves the right to terminate a contract if a client behaves in a disrespectful, disruptive, or abusive manner.

  • In such cases, work already completed will not be refunded.

14. Agreement

  • By booking with Hare Media, clients agree to all terms and policies listed above.
